Office manager with HR and financial affinity

Are you an energetic controller who easily switches between different facets within an organization?

As the Office Manager at Optimum Assessment, you will play a crucial role in the day-to-day operations and ensure that everything in the office runs smoothly. In this versatile position, together with the Controller, you guarantee an optimally organized financial administration and you are the indispensable link that keeps the administration running smoothly. In addition, you will support HR with correct administrative processing of the inflow and outflow of colleagues.

You are also indispensable in the facilities area: You keep an eye on maintenance contracts, are the point of contact for suppliers and cleaning, manage office supplies and ensure that everything – from mail processing to lunch and meeting rooms – is neatly arranged. Whether it’s welcoming guests, organizing get-togethers or keeping the pantry stocked, you’ll ensure that the work environment remains professional, welcoming and well-organized. You feel at home in an atmosphere of short lines, personal responsibility and cooperation with various colleagues. Our office is located in burgundy and hospitable ‘s-Hertogenbosch, within walking distance of the train station. Working days are Monday, Tuesday and Thursday (24 hours).

This is what you will do:

Financial Support:

• Booking bank statements, purchase and sales invoices, memorandum entries in Exact;
• Prepare and maintain balance sheet specifications;
• Processing payments;
• Dunning of debtors;
• Preparation of reports (Excel) on key and control numbers related to various topics in the financial field;

HR support:

• Facilitate and maintain personnel processes such as processing and accurately monitoring mutations and changing terms of employment for payroll;
• You will ensure the administrative processing of the inflow, transfer and outflow of employees;
• Taking care of absence registration and administration around education and training;
• Coordinating work in the recruitment of new employees, liaising and following up with recruitment agencies;
• Checking claims;
• Creation of reports (Excel) on key and control numbers related to various HR topics;

Facility Tasks:

• Be the point of contact for cleaning and facility issues, also oversee maintenance contracts and be the contact person for suppliers;
• Performing all common administrative duties (including filing, tidying, mail handling, mailings, job postings);
• You make sure supplies are ordered and put away and provide lunch;
• Function as a point of contact for our guests and you will check the consulting rooms for cleanliness;
• You will organize (together with another colleague) the various company activities, such as get-togethers, joint lunches, anniversaries and other events.

What you bring:

You are someone with a hands-on mentality, who loves to be involved with facility operations, but also enjoys being supportive to both the Controller and HR, while being very accurate. You have an eye for detail, integrity and a proactive attitude.

In addition:

• Do you possess MBO+ working and thinking level;
• Do you have demonstrable work experience in a financial administrative position (Microsoft Office and preferably Exact) and are fluent in the Dutch language both verbally and in writing;
